THIS RECRUITMENT WILL BE USED TO FILL OTHER VACANCIES THAT OCCUR IN THIS CLASSIFICATION IN OTHER DEPARTMENTS THAT MAY ARISE OVER THE NEXT SIX (6) MONTHS. SUCH VACANCIES MAY BE FULL-TIME OR PART-TIME.

There are two current vacancies.

Parks: This current 60% permanent part-time vacancy is a responsible, administrative, customer service position involving coordination and facilitation of community events, activities and park reservations for Madison Parks.
Hours: Monday through Friday 9:00 am to 1:45 pm or 12:30 pm to 4:30 pm. Daily start/end times and number of hours per week may fluctuate throughout the year, averaging 60% of a full-time position ($990.68/biweekly). This position is eligible for benefits.

Human Resources: This current hourly part-time vacancy is responsible administrative and clerical work within the Human Resources Department in the implementation and coordination of specific office functions necessitating judgment discretion and initiative of the application of City policies, procedures and processes. The incumbent will provide support to various units within HR. This position is hourly at the pay rate of $14.89 per hour. This hourly position is not eligible for benefits.
Hours: Monday through Friday 12:30 pm through 4:30 pm. 


Other positions in this classification would be considered responsible administrative support work in the implementation and coordination of a variety of office functions necessitating judgment, discretion, and initiative in the interpretation and application of policies, procedures and processes. Employees in this classification may serve as an agency/department/division payroll clerk, may be the first contact for purchasing, may be responsible for preparing meeting agendas or minutes in the Legistar system, or may perform other administrative tasks. Work is normally performed under the general supervision of a professional or administrative supervisor. Employees may provide oversight to lower-level clerical employees as assigned.

Examples of Duties and Responsibilities:

Parks Vacancy: 
  • Review and respond to inquiries and applications submitted to the Parks Division for Parks and Street Use events.
  • Assist with the coordination and scheduling of community events and parks programming and permitting.
  • Exercise initiative in the implementation and maintenance of online permitting processes.
  • Provide administrative support for permitted activities, events and Park vending.
  • Enter and maintain event databases including Rec Trac, scheduling, invoicing and permitting programs.
  • Prepare meeting agenda materials for the Street Use Staff Commission; enter agendas and minutes of the Street Use Staff Commission in the City's electronic meeting system (Legistar).
  • Maintain and communicate the schedule of activities in the Parks Division. Prepare and distribute community event calendars in various formats.
  • Manage and maintain billings and payments for community events.
  • Perform other related duties as assigned.
  • Interpret regulations and policies.
Human Resources Vacancy: 
  • Provide general administrative assistance to the Human Resource Director and Department as requested.
  • Serve as receptionist for all of the areas listed above including in person and phone inquiries.
  • Open and distribute mail.
  • Take ID photos for City Employees and prepare City of Madison ID.
  • Provide administrative support for the Employee and Labor Relations Unit.
  • Receive benefits applications and log, route, and file as required.
  • Enroll employees in health insurance using the My ETF Benefits website.
  • Assist in preparing documents and special mailings to City Employees such as health insurance enrollment and flex spending enrollment.
  • Answer general benefit questions.
  • Provide general administrative support staff to the HR Services Unit.
  • Process a variety of employment related documents, including criminal records checks and driving abstract checks as assigned.'
  • Enter the monthly Personnel Board agenda on Legistar.
  • After the Personnel Board meeting, enter the results of the Personnel Board meeting on the Legistar system including the minutes and process accordingly.
  • Update the Jobline weekly and send out job announcements to email list.
  • Answer general employment questions.
  • Perform other related duties as assigned.

Minimum Qualifications:
  • Three (3) years of responsible clerical experience which involved some independent responsibility for an office function or activity.
OR
  • Possession of a four year degree from an accredited college or university may be substituted for the experience requirements.

If an applicant does not possess the specific requirements outlined above, HR will review the application materials to determine if the applicant possesses the following equivalent experience: 

Two years of experience in applying the following:
  • Office procedures, methods, and equipment.
  • Word processing, spreadsheet and database programs.
Familiarity with the following:
  • Elementary account posting and data processing input procedures.
